Job Description:
Position Summary:
Under the direction of the Director of Accounting, the Accounting
Clerk is responsible for assisting the accounting department in
performing clerical tasks such as entering data into financial
databases, processing and recording transactions, preparing reports
and budgets, fielding communications with clients and vendors,
fact-checking, filing, and other duties, as needed.
Essential Job Functions and Responsibilities:
- Assists in maintaining spreadsheets, reports, etc., in the
accounting system.
- Post all accounts payable invoices.
- Review invoices and billing statements, verifying information,
ensuring funds are properly allocated before payment, and follow up
on past dues.
- Analyze and reconcile spreadsheets, reports, and statements
(researching causes of discrepancies and taking action to ensure
that accounts balance).
- Filing all AP paperwork, ensure documents are in correct files.
- Gather grant backup documentation for reimbursement, work with
development to ensure accuracy.
- Help post all end-of-month journal entries and monthly accruals efficiently.
- Perform various research of accounts as needed: download monthly
credit card statements and distribute them to the correct employee
for coding monthly.
- Maintains financial security by following internal accounting controls.
- Verify and maintain current certificates of insurance for outside vendors.
- Assists with special projects for the Accounting Department as
required. (Yearly Audit)
- Performs a variety of recordkeeping, reporting and other related
duties as assigned.
- Complies, maintains and updates data, lists and reports.
- Serves as backup to telephone rotation on as needed basis.
- Serves as backup to Accounting Specialist.
Education:
- High school diploma, GED or equivalent knowledge and experience
